GolfClub IQ is operated by Fairways of Eden Co., Ltd. It provides golf courses with guest-feedback and experience analytics.

Feedback is collected for the golf course shown on the survey. That course determines why it wants the feedback and how it uses the results to understand and improve its golf experience. The course's legal name and privacy contact are shown in its GolfClub IQ survey.

Fairways of Eden operates GolfClub IQ to collect, secure and present the feedback for the course. Fairways of Eden separately manages information needed for platform administration, account and security operations, abuse prevention, technical operations, backups, and incident, legal or operational records.

• Survey ratings and the deterministic GolfClub IQ Score.
• Optional Country of residence and optional golf handicap.
• One optional email address that the course may use for feedback or experience follow-up and occasional course news and updates.
• A course-scoped caddie association where the survey uses one.
• Comments and final feedback when you choose to provide them.
• Technical submission timestamps and course and QR references required to operate the survey.

The golfer survey does not ask for your name, telephone number or a GolfClub IQ account. Email is optional. If you provide it, the course may use it for the purposes disclosed beside the field. The response association is retained separately from analytics data, while the same normalized address is also retained in the course's deduplicated contact list. GolfClub IQ does not intentionally persist a raw IP address, raw User-Agent or device fingerprint with your survey response.

Information you voluntarily type into comments may still identify you or another person. Please do not include personal, confidential or sensitive information in free text.

You may optionally enter one email address. By providing it, you agree that the course shown on the survey may contact you regarding your feedback or experience and may send occasional golf course news and updates. The address is stored in a dedicated course-scoped response-contact record for response follow-up and separately in the course's deduplicated contact list.

Opening an email from GolfClub IQ hands a prepared message to the manager's own email application. GolfClub IQ does not send or track that message.

Providing the optional email address and submitting the survey is the affirmative action that permits the course shown on the survey to use it for the disclosed feedback follow-up and occasional news and updates. No separate checkbox or second email entry is required. Contact-list records remain course-specific and separate from ratings and comments.

You may withdraw this consent by contacting the course privacy contact shown in the survey or Fairways of Eden at info@fairwaysofeden.com. Withdrawal applies to future course marketing use; the consent record can retain the resulting unsubscribed status and withdrawal time.

• Protect surveys from abuse and operate and secure GolfClub IQ.

Country of residence and golf handicap are optional. You can skip them or choose Prefer not to say. When supplied, they support aggregated visitor and player analysis. Country of residence is not a request for nationality or ethnicity.

Comments you voluntarily submit may be reviewed by the relevant course and authorized GolfClub IQ users for the purposes described in this notice.

For a course using GolfClub IQ Intelligence, an authorized manager may request a management report about the most recent rolling seven days of golfer feedback. Fairways of Eden sends OpenAI only the course context needed for interpretation, the reporting period, deterministic course ratings and facility facts, and eligible original-language golfer feedback from that reporting period.

OpenAI performs structured management synthesis. GolfClub IQ—not OpenAI—remains authoritative for scores, counts and other deterministic statistics.

Fairways of Eden does not send persistent course, response, QR, caddie or Auth identifiers; manager or actor identity; golfer names, email addresses or demographics such as country and handicap; plan metadata; dataset hashes or fingerprints; model cost or token metadata; or infrastructure and database metadata to OpenAI for Intelligence generation.

GolfClub IQ sends requests with store: false; this does not mean Zero Data Retention. OpenAI API inputs and outputs are not used for model training by default, and GolfClub IQ keeps optional API input/output and data-sharing controls disabled. Under OpenAI's standard controls, abuse-monitoring logs may contain customer content and may be retained for up to 30 days. OpenAI documents limited circumstances in which longer retention may be required, including legal or safety-related requirements. Zero Data Retention remains preferred where available and approved.

GolfClub IQ currently uses infrastructure and services including Supabase, Hostinger, Cloudflare and Google Workspace. GolfClub IQ also uses OpenAI for Intelligence management synthesis when that feature is enabled. These service providers may process information where their infrastructure operates.

• Structured survey responses are retained for up to 24 months.
• Free-text comments and final feedback are retained for up to 12 months.
• Completed GolfClub IQ Intelligence reports and resolved results are retained for up to 12 months.
• Failed Intelligence-generation metadata and terminal chunk or checkpoint records are retained for up to 30 days.
• Raw survey-response retention remains governed separately by the survey-response and comment periods above.
• Response-contact email is deleted with its associated survey response and is not retained as a historical inferred link.
• Operational, account and course records are retained as needed for the service and applicable business requirements.
• Encrypted backups follow GolfClub IQ's established backup-retention cycle.

Optional survey fields may be skipped. Privacy questions or requests may be sent to info@fairwaysofeden.com. Where feedback is controlled by a golf course, Fairways of Eden may need to coordinate your request with that course.

Golfer surveys intentionally do not require your identity, so GolfClub IQ may not always be able to identify a particular anonymous response reliably. We will not disclose or alter an uncertain match that could belong to someone else.

GolfClub IQ uses reasonable technical and organizational safeguards, including access controls, encryption, encrypted backups and abuse protection. Limited technical and security processing is used for rate limiting, retry protection, abuse prevention and service security.
